How to Choose a Rental LED Display for Events and Stage Projects
Rental LED displays are used for concerts, conferences, exhibitions, product launches, sports events and temporary brand activations. They need to look good for the audience, fit the venue, and be practical for repeated transport and installation.
For a first-time buyer, the right starting point is not a cabinet model or a pixel pitch. Start by defining how the screen will be used, where people will view it, and how much time is available for setup and removal.
Step 1: Define the event and the audience
Ask what the screen needs to do. A conference backdrop may show presentation slides and camera feeds. A concert screen may need to support live video and dynamic stage visuals. An exhibition display may need to attract visitors walking past a booth.
Identify the closest regular viewing distance, the audience area and whether cameras will record the screen. Fine text and presentation content need a different configuration from large-format background video. A clear event brief prevents selecting a screen based only on appearance.
Step 2: Confirm indoor or outdoor use
Indoor and outdoor rental projects are planned differently. Indoor projects usually focus on close viewing, room lighting, suspended or ground-supported installation, and clean cable management. Outdoor events also require planning for daylight, weather protection, structural safety, drainage, grounding and safe service access.
Do not assume that every rental cabinet is appropriate for outdoor conditions. Confirm whether the display is fully exposed, partially covered or installed under a roof. The selected model and system configuration should match the project rather than a generic specification.
Step 3: Choose screen size before focusing on pixel pitch
The available screen width and height shape the whole project. A screen that is too small may not be visible from the back of the venue. A screen that is too large can create installation, weight or sightline problems.
Share the usable installation area, stage drawing or booth layout. If exact dimensions are not yet available, provide a site photo and estimated distance to the audience. This gives the supplier enough information to recommend a practical screen size and cabinet layout.
Pixel pitch should then be selected according to viewing distance, content and screen size. A smaller pitch can improve image detail for close viewers, but it is not automatically necessary for a large audience standing farther away. Step 4: Consider installation and rigging from the beginning
Rental LED screens are often installed as hanging screens, ground-stacked walls, flown stage backdrops or temporary exhibition displays. Each method needs different planning.
For hanging installations, confirm the venue's approved rigging points, load limits, suspension height and safety requirements. For ground-supported screens, confirm the floor space, support system, wind exposure where applicable and access around the rear of the display. Curved or creative layouts may also affect the cabinet arrangement and support structure.
Installation drawings should be reviewed before production and before the equipment arrives at the venue. This avoids late changes when the event schedule is already tight.
Step 5: Check setup speed, handling and service access
A rental project is often limited by a short build schedule. Cabinet handling, locking systems, power and signal connections, and the number of technicians all influence how quickly the screen can be assembled.
Ask how the display will be transported between events, who will install it, and whether the team needs front or rear service access. A well-planned system is easier to pack, build, test and maintain. It also reduces the risk of delays during rehearsal or opening.
Step 6: Plan video processing and camera use
The display is part of a complete system, not just a wall of cabinets. Confirm the video source, controller or processor, signal routing, power distribution and backup requirements. If the event will be photographed or broadcast, mention this early. Camera use can affect the recommended configuration and testing procedure.
The content should also be prepared at a suitable resolution and aspect ratio. Test important slides, logos, schedules and videos before the event. Small text that looks acceptable on a laptop may not be readable on a large screen from the audience area.
Step 7: Confirm transport, spare parts and technical support
Rental displays are repeatedly moved, assembled and dismantled, so packing and logistics matter. Confirm flight cases or other protective packing, the delivery schedule, unloading conditions and onsite access route.
Ask which spare parts are included or recommended for the project. The appropriate spare quantity depends on the selected model, project scale and operating plan. Confirm the support process for installation questions, system testing and after-sales service before the event date.
